AI in freight forwarding: quotes and communication, not the transport

Your goods do not reach their destination through a tool, but through drivers, routes and good coordination. Even so, the paperwork eats hours every day — enquiries, status updates, emails. That is exactly where AI helps. Here is what works and what does not.

In freight forwarding, what counts is that the load arrives on time and undamaged. You organise that, your dispatch team and your drivers. AI does not drive and does not plan a route. What it can do: clear your desk. Answer enquiries, keep customers up to date, draft internal texts, write sales emails. All tasks that pile up today because the phone keeps ringing.

Sensible use cases

1. Quotes and replies to freight enquiries

An enquiry comes in: route, dimensions, weight, deadline. You know the price and the feasibility. What costs time is wording the reply cleanly. Type the key data into an AI chatbot and have it build a clear quote from it — with terms, validity and a polite close. You enter the figures yourself, the tool delivers the form.

2. Customer communication and status updates

Delay due to traffic, transhipment, changed delivery time: customers want to be informed early and clearly. Enter the facts and have a short, calm message drafted. Especially with bad news it helps to have a draft made first and then check the tone, rather than typing hastily under pressure. Standard updates such as collection or delivery confirmations you set up once as a template.

3. Internal dispatch and team texts

Shift handovers, instructions for drivers, short notes to the team, a tidy weekly overview. AI brings your keywords into a clear, readable form so nothing slips through. Important: the actual dispatching — who drives which route — you decide. AI sorts and words, it does not plan.

4. Sales and follow-up emails

Approaching new shippers, politely following up after a quote, reactivating an existing customer. These emails are easy to put off because the first word is the hardest. Give AI the goal and a few details about the recipient, and in minutes you have a usable draft. You adjust it to your tone instead of staring at a blank page.

What this is not about

AI does not plan binding dispatching. It does not know your driving and rest times, your fleet or your commitments, and must not decide on them. Just as little does it give reliable information on dangerous goods, customs or law — there it invents plausible-sounding nonsense. For such questions, specialist sources and advice apply. AI takes paperwork off your hands, nothing more. The responsibility stays with you.

Honest limits:
  • AI does not calculate correct freight rates. Costing stays your job.
  • It invents details, especially on regulations. Read every text against the facts before it goes out.
  • No binding route planning — the decision stays yours.
  • No dangerous-goods, customs or legal information. That is what specialist sources are for.

Data protection: what does not belong in the tool

You work with your customers' data and that of their shipments. They do not belong in free chat tools. Do not type full customer, address or shipment data into free versions. Work with placeholders, or use a business plan with EU hosting and a data processing agreement. This is not a bureaucracy point, but your good relationship with the shippers. In freight forwarding, trust is half the battle.

A pragmatic start

  • Start with the type of text that costs you the most time — often the enquiry replies.
  • Build templates for recurring status updates that you only need to fill in.
  • Train AI with examples of your own emails so the tone fits.
  • Read everything against the facts before it goes out, and do not enter real customer data.
